Exeter Garden Railway Exhibition 2009

This even was attended by myself and John Chapman last year, along with Mike (Newts) from the Bowman Circle. I have the application form for entry for this years event at the Matford Centre Saturday Oct 24th 2009. Those that are exhibiting please contact me as soon as possible - ie post here! I need to get the form in informing the organisers how many table we need.

Last years even was brilliant - see images in this topic area. JC and I will be there again with a classic selection of steam toys, if anyone else want to join us then please let me know, I would envisage we would be allowed around 2 table each. Over to you guys!

Any ideas for themes for the exhibit?

Can we stick to a standard table covering over the whole stand? One thing I can't stand is uncovered tables (bar where we need it for running).

I use large green plastic sheets on my stand when I exhibit and I think I will have enough to cover the number of tables we have if you wish to use that? Smile

Jim we have 6 tables (Hopefully!) As far as themes go, Ill be taking English steam engine (of course!), Im leaving my big workshops at home and taking my smaller Meccano based workshops all based on Mamod engines, I will also be taking the Bowmans etc, esp the 101s for driving.... On top of that Ill have to two boats there. I may bring the mobiles too and have them on display in the front out of the way - they caused a lot interest last time. As far as layout goes, John and I last year had our respective collections at each end (roughly) of the tables and had a clearing in the middle for joint steamings. We had at least 2 engines steaming all day, which was quite a feat considering a few were needing a little coaxing and preparation.

John no doubt will respond here, but Im sure he'll bring his Cyldons and German engines as well as lots of other goodies.

The table layout will probably be 3 x 2 deep, so we have plenty of space, if we are in the same location the config would work OK. Im hoping we will be next to the Bowman Circle again, since Mike is helping on that layout and he will no doubt have some Bowman machinery on show too.

Suggest we go for two tables each, like we did last year, that seemed to work fine.  With 3 of us looking after the shop it will allow us a bit more of a chance to have a look around.  I'm thinking on similar lines to last year; as Mike is bringing Mainly Bowmans and Mamods I'll do a mixed collection of other British classics and a couple of German engines plus the Jensen 75.

Mr Newts sir, are we on for another "white knuckle" breakfast?   Wink

I don't have that much English toy steam. I have a few Bowmans and a lot of Mamods but nothing like you have. I shall have a think about what I am bringing as I don't have much in common with the other engines that shall be on display Confused  Crying or Very sad

Maybe a bit of a model engineering theme to my display with Stuarts and the like? Shows toysteam isn't just what we are about?

If it's hectically busy, there's a cafe about 1/2 a mile away that does a breakfast in approx 1/2 a loaf of bread as a takeaway Shocked

Fine John, Im only taking the 101s to power things as they are fairly attention free once going. Ill take my 13/2 and the L5. Ive just done some shots trying out my set up. Ill post them soon.

Ive had an email from the organisers today:

Hello Traders and Exhibitors

Not long now till the 2009 Exeter Garden Railway Show on Saturday 24th October at The Matford Centre.
So far there are 21 exhibitors booked and 27 traders, which is more than last year.
Last year's show raised £1050.00  for The Devon Air Ambulance and a cheque presentation is taking place on 20th October.

Apologies to anyone I have included in this e-mail who is not attending the show or sent in a booking form, please ignore.

Exact location of layouts and trade stands are being finalised and where possible we are trying to ensure everyone's requests and requirements are met.
Your booked amount of tables should be in place when you are shown to your reserved area on arrival at the Matford Centre.

Directions to the show are on the website www.exetergardenrailwayshow.com.  The Traders and Exhibitors car park is via the 2nd entrance from Matford Park Road and entry into the exhibition area is via the roller shutter door. We are unable to display direction signs on the surrounding roads but there are permanent signs for 'The Matford Centre' Marsh Barton. My mobile number is (Email Mike Jane) if you are lost or delayed.

Please park sensibly and be patient as some vehicles will need to drive in to the exhibition area to unload and then get out again. Please follow the instructions from the SDGRG's stewards and drive slowly.

Unloading and set up can be done on Friday afternoon from about 2.30pm and evening till 9.00pm and it is OK to stay overnight in the car park, but be warned there are no toilets once the Centre is closed for the night. We will open on Saturday from about 7.00am. Don't forget the doors open to the public at 10.30am.   The Stockman's restaurant will be open for refreshments from 7.30am and breakfasts from 8.30am on Saturday morning and throughout the show, good food and reasonably priced.

If you require assistance unloading please ask the available stewards and only set up where instructed please. On arrival you will be issued with your requested number of ID / PASS badges on your booking form, can you make sure you all wear them somewhere visible, otherwise you may well be challenged by a steward or charged to come in !  I have attached the Risk Assessment / Health and Safety Guidelines for the show, can you please make sure you and your helpers have read , understood and agree to them and confirm this to me by e-mail asap.

There will be opportunities to book goods into the Bring and Buy Stand on Friday p.m and Saturday a.m.  A sales 'booking in' form is on the website.

Please don't forget to tell your friends, customers and associates about the show, drive safely and see you all there.

EXETER GARDEN RAILWAY SHOW 24thth OCT 2009  
The MATFORD CENTRE
Health, safety and the prevention of accidents is everyone’s responsibility, could you please ensure that all persons associated with your exhibit, layout or trade stand are fully aware of the following guidelines.

INSURANCE: The South Devon Garden Railway Group has the required Public Liability Insurance for the show at the Matford Centre. Details of the insurance cover are available from the SDGRG Treasurer Mr D.Anning. nutbushlane@blueyonder.co.uk
Please note that traders should have their own insurance.

FIRE: Exhibitors who are operating Live Steam Engines must be competent in the safe operation of their models with particular regard to the fuelling of engines with Butane Gas, Meths or Coal. Different fuels must be clearly marked and kept well apart and special care taken to avoid any spillage or release of gas, meths or hot coals likely to cause a fire.
Each layout organiser must assess the risks and if required ensure that their layout has a sufficient number of easily accessible fire extinguishers containing either dry powder or CO2 (available from car accessory shops) plus a bucket of water and damp towel to deal with a fire should it occur. It has been agreed to switch off the  Matford Centre smoke alarms. SDGRG stewards will be available on the day should you require further advice.

SIGNAGE and SECURITY: All layouts operating ‘Live Steam’ must display clear signs about 10ft apart warning the viewing public that ‘ STEAM LOCOMOTIVES are VERY HOT and HEAVY,  STAND BACK and KEEP FINGERS and FACES AWAY from the RAILWAY’
Each layout organiser is responsible for making sure that the viewing public are not standing too close to their running lines by appointing,if appropriate sufficient layout helpers to be on the outside of the their layout when ever trains are running. The layout helpers should be easily identifiable and can gently remind the public (especially children) to keep their fingers and faces away from the railway tracks and of the potential hazards of standing too close. In addition members of The SDGRG will also be stewarding the exhibition and helping the public to enjoy the show and keeping an eye on Health, Safety and Security. They will all be wearing Hi-Vis waistcoats so that they can be easily spotted. All SDGRG stewards will be briefed and aware of the emergency procedures.

FIRST AID PROVISION: A First Aid room will be made available at The Matford Centre and  First Aiders will be in attendance.  Each Exhibitor and Trader is advised to have their own basic First Aid Kit.

EMERGENCY PROCEDURES: All the Fire Exits are clearly marked and must be left unlocked and clear of any obstructions.  One or more SDGRG stewards will be located on the exits / entrances at all times during the show. Only one entrance / exit is to be used by the general public. Traders and Exhibitors will have their own seperate exit / entrance but must be prepared to show the SDGRG Stewards their supplied ID badge. Exhibitors and Traders to remind their helpers to wear their ID at all times during the show.


SLIPS, TRIPS AND FALLS:  All Traders and Exhibitors must ensure they do not leave any items on the floor which might cause themselves or others to slip, trip or fall during the set up for the show, during the show or when packing up.

ELECTRICITY:  There are sufficient power points located around the exhibition hall and Traders and Exhibitors who have asked for a power supply will be located close to a power point to avoid any long cable runs.  Cable runs must not be located where anyone can trip over them and we strongly suggest that any cables used are checked first for splits and loose connections so as eliminate any hazards from electric shock.

BOILER / PRESSURE VESSEL CERTIFICATION:  Owners and operators of Live Steam Engines should be aware of the boiler and pressure vessel regulations from the organisations they belong to.  GIMRA member’s locos must all have a valid boiler and pressure vessel certification. 16mm, G Scale and ‘O’ Gauge Guild members should follow their organisations printed guidelines and ask their Layout Organiser if unsure. Each Layout Organiser must satisfy themselves that operators on their layout are aware of and if necessary have the appropriate documentation and knowledge to ensure boiler and pressure vessel safety at all times when running at the Exeter Garden Railway Show. Please note this also includes checking that safety valves are set to the recommend release pressure and are operating correctly.

VEHICLES / PARKING:  All drivers must exercise caution at all times when on the show site, particularly when driving in the show hall during set up and break down. Hazard flashers must be used when in the exhibition area and windows kept down.  A SDGRG steward will guide you to your drop off / pick up point and advise you where to park. All engines must be switched off when stationary. Please be patient

RADIO CONTROL SYSTEMS AND SAFE OPERATION: The SDGRG will appoint a R/C Marshall to ensure that only one operator is on each frequency so as to avoid any unexpected locomotive movements, which may cause an accident. A peg token system will be in operation and it will be the Layout Organisers responsibility to ensure that all their operators understand the system and only switch on their R/C equipment when they have the appropriate peg for their frequency.  The Layout Organiser must also ensure that all the layout operators are in control of their locomotives and trains at all times and are not running at an excessive speed which could result in a collision, derailment, damage or injury to persons or property.

Please do remember that some members of the viewing public (particularly children) may have not encountered Live Steam models before. Please conduct yourselves accordingly, with due regard to their safety and sensibilities. Above all remember to enjoy yourselves!

If you have not done so far can I please remind you all that I need e-mail confirmation that you have received, read, understood and passed on the information in the attached risk assessment for the Exeter Show. It is an insurance requirement from the Matford Centre that this is done for all traders and exhibitors attending the show. Thanks for your co-operation. Because of the numbers of traders and exhibitors attending it is going to be virtually impossible to drive a vehicle into the show area, however there will  plenty of trolleys  to use and stewards to lend a hand if needed.

Just looked at the floorplan on their website and I don't think we are, the Bowman Circle is in the same place but we have been replaced by the GWR Railmotor Society table.

Quite a nice spot actually, near the loos and on a corner next to a wall - ie easy storage and a good view!

Jim I aim to be there for 830, I have a birthday party the night before for my other half - its her birthday tomorrow. I wont be drinking too much. John should be there earlish too, hopefully Mike as well, they;ll be going for a brekker I suspect....!

I should add that we got a lot of visitors last year, John and i had at least 2 engines steaming all day! Remember we are a little different to what most people will be exhibiting...  Overall it went down very well last year, people were not expecting to see toy steam and many were thrilled to see some unusual stuff. The BC will have Bowman stationarys steaming too!

John and Mike disappear about 845 last year, Im setting up so I will be near the display...  We are next to Garden Railway Supplies and FS are also showing too. It will be a great event, both John and I and Mike thoroughly enjoyed it last year!

Apparently there were just over 800 visitors to the show today Shocked
It was good to see everyone & i had a great day running the stationaries amongst the mayhem of derailing bowman locos,
(They're feisty little engines that require much taming with lead weights).
I didn't get many pics as the day just went too quickly & all the chatting to visitors has left me very hoarse
